What this system is
Reserve Management is the scheduling and timekeeping system used by Sour Lake Police Department to run its reserve officer program. It is used by people the agency has given an account to — officers, supervisors and administrators. It is not a public service and it has no public sign-up.
What we collect
Only what the program needs to run:
- Who you are. Your name, agency email address, badge number, unit and role, and an optional photograph, all provided by you or by the agency.
- Your mobile number, if you choose to give one. It is optional. The system works without it and you will still be told everything in the application and by email.
- Your work in the program. Shifts you are scheduled for or request, hours you record, leave you request, documents you acknowledge, and the decisions supervisors make on any of those.
- A record of what changed. The system keeps an audit log of actions taken in it — who changed what, and when — including sign-ins and sign-outs.
We do not collect criminal history, case or investigative information, dispatch records, or any other criminal justice information. This is a scheduling system, and it is deliberately not a record system for any of that.
Text messages (SMS)
We do not sell, rent, or share mobile numbers or text-messaging consent with anyone. Mobile numbers and SMS opt-in information collected by Sour Lake Police Department are never shared with third parties or affiliates for their own marketing purposes, and are never sold. The only place a number goes is our messaging provider, which sends the message on our behalf and does nothing else with it.
How you opt in
Giving a mobile number is voluntary, and giving one is how you opt in. You enter it yourself on your notification settings page and confirm it there; until you confirm it, no text is sent. If the number on your account is ever changed — by you or by an administrator — the confirmation is cleared and texts stop until you confirm the new number. You choose which kinds of message reach you by text.
What we send
Operational messages about your own schedule and your own records only: a shift you have been assigned, a change or cancellation to one, a decision on something you submitted, hours recorded on your behalf, a reminder before a shift you are on, a document that needs your acknowledgement, and a reminder when your monthly hours are running short. We do not send marketing or promotional text messages.
Message frequency
Message frequency varies. Messages are sent when something happens on your schedule rather than on a set cadence, so the number depends on how often you are scheduled and on which messages you have chosen to receive by text. For most officers this is a small number of messages a month.
Costs
Message and data rates may apply. Sour Lake Police Department does not charge you for these messages; your mobile carrier may, according to your own plan.
How to stop
Reply STOP to any message to stop all texts from this system. You can also switch off any text message, or all of them, on your notification settings page in the application — including messages that cannot be switched off elsewhere in it. Reply HELP for help, or use the contact details below. Opting out of texts does not affect your account: you will still be told everything in the application and by email.
Carriers
Carriers are not liable for delayed or undelivered messages. Delivery depends on your carrier and your device, and no message from this system should be treated as confirmation on its own — the application itself is the record.
How we use what we collect
To run the reserve program: to build and publish the schedule, to record and approve hours worked, to manage leave, to measure hours against the agency’s monthly requirement, to distribute agency documents, and to tell you about all of the above. We do not use any of it for advertising, and we do not profile anybody.
Who can see your information
- You, for everything of your own.
- Your supervisors and the agency’s administrators, for what their role requires — the schedule, hours, leave and compliance of the officers they are responsible for.
- Service providers who operate the system on our behalf: our application host, our database and file-storage provider, our email provider and our text-messaging provider. Each is given only what it needs to do its part, is bound to use it only for that, and none of them may use it for their own purposes.
- Others, only where the law requires it — a court order, a subpoena, a lawful public-records request, or the agency’s own legal obligations as a public body.
We do not sell personal information, and we do not share it for anyone else’s advertising.
How long we keep it
Scheduling, timekeeping and leave records are kept as agency records, for as long as Sour Lake Police Department’s records-retention rules require. Audit log entries are kept for a period the agency sets. Your account details are kept while your account is active; when an account is deleted, the personal details on it go with it, and the historical records of hours worked remain as agency records.
How it is protected
Access is by individual account, with two-step verification available and requirable by the agency. What each person can see is enforced by their role, both in the application and in the database itself. Information is encrypted in transit. Actions taken in the system are recorded in the audit log.
Your choices
- You can review and correct your own details in the application at any time.
- You can remove your mobile number, or switch off any or all text messages, at any time.
- You can ask Sour Lake Police Department for a copy of the personal information it holds about you, or ask it to correct something, using the contact details below.
Children
This system is for adults working with the agency. It is not directed at children and we do not knowingly collect information from anyone under 18.
Changes to this policy
If this policy changes, the new version appears on this page with a new effective date. Material changes affecting text messaging will be communicated to officers in the application.
