Who these terms are for
Reserve Management is the scheduling and timekeeping system Sour Lake Police Department uses to run its reserve officer program. It is used by people the agency has issued an account to — officers, supervisors and administrators. There is no public sign-up, and nobody can create an account for themselves.
Using the system means accepting these terms. If you do not accept them, tell your agency administrator rather than continuing to use the account.
Your account
- Your account is yours alone. Do not share your password, and do not let anybody else work under your account — every action is recorded against the person signed in, and a shared account makes that record wrong.
- Where the agency requires two-step verification, you will be asked to set it up before you can use the system.
- Tell your agency administrator at once if you think somebody else has your password or has used your account.
- Access ends when the agency ends it — when you leave the program, or when the agency decides. The records of what you worked remain agency records.
Recording your time honestly
The hours you record are your own statement of what you worked. A scheduled shift is not a record of hours worked, and the system never turns one into the other — you record what actually happened, and a supervisor reviews it.
A supervisor or administrator may record or correct hours on your behalf. When they do, you are told, the entry keeps who entered it, and you can raise it with them if it is wrong. Knowingly recording hours that were not worked is a matter for Sour Lake Police Department under its own policies, and the audit log is what it will be examined against.
Using the system properly
- Use it for the agency’s scheduling, timekeeping, leave and documents.
- Do not try to reach records you have not been given access to, and do not work around the permissions the agency has set.
- Do not put criminal history, case, investigative, dispatch or intelligence information into any field of this system — including notes. It is a scheduling system and it is deliberately not a record system for any of that.
- Do not upload anything you do not have the right to share, and do not use the system to send anything harassing or unlawful.
Text messages (SMS)
Giving a mobile number is voluntary, and giving one is how you opt in to text messages. You enter and confirm it yourself in the application; until you confirm it, no text is sent. The messages are operational — a shift assigned, changed or cancelled, a decision on something you submitted, hours recorded on your behalf, a reminder before a shift, a document needing your acknowledgement, or a reminder that your monthly hours are running short. We do not send marketing or promotional text messages.
Message frequency varies, because messages follow what happens on your schedule rather than a set cadence. Message and data rates may apply — Sour Lake Police Department does not charge you for these messages, but your mobile carrier may.
Reply STOP to any message to stop all texts from this system, or HELP for help. You can also switch off any or all text messages in the application. Opting out does not affect your account: you will still be told everything in the application and by email.
Mobile numbers and text-messaging consent are never shared or sold. The only place your number goes is the messaging provider that sends the message on our behalf. Carriers are not liable for delayed or undelivered messages.
Not for emergencies
Do not use this system to report an emergency or to summon assistance. It is scheduling software. Messages may be delayed or may not arrive, and nobody monitors it for urgent requests. Use your agency’s radio, dispatch and emergency procedures.
Availability
The system is provided as it is. Sour Lake Police Department does not promise it will be available without interruption or free of faults, and it may be taken down for maintenance, changed, or replaced. A text message or email from it is a convenience, not a guarantee of notice — the application itself is the record, and it is where you should check what you are scheduled for.
Your information
What the system collects and who can see it is described in the Privacy Policy, which forms part of these terms.
Scheduling, timekeeping and leave records are agency records. They may be disclosed where the law requires it, including under public-records law, and they are kept for as long as the agency’s retention rules require.
Changes
These terms may change. The current version is always on this page with its effective date, and material changes affecting text messaging will be communicated in the application. Continuing to use the system after a change means accepting the revised terms.
Governing law
These terms are governed by the law of the state in which Sour Lake Police Department operates, and by the agency’s own policies and any collective agreement that applies to you. Nothing here limits a right you have under law as a public employee or volunteer.
